Reservation & Table Use Guidelines
Member Table & Equipment Cleaning Procedures
Sun City Festival Housekeeping will thoroughly clean the building daily, either before the building is opened in the morning for use, or in the evening after the building has been closed for the day. Club Member cleaning responsibilities include:
- Only Sun City Festival residents can reserve and use the Billiard Tables after creating an account on the Reservation System. Guests of residents under 16 years old must be accompanied by their resident that reserved the table.
- All Sun City Festival residents can elect to join or not join the SCF Billiards Club during the first time completing an account online. If you want to join the Club:
- The annual individual membership dues is $20.
- The annual family membership dues are $30.
- There is a downloadable and printable membership registration form in the above right of this page.
- Annual memberships are for a calendar year and run from January 1 through December 31.
- Creating a Member or Non-Member account includes:
- Click here to Create Account and complete the new account set up form
- Select the appropriate Plan (Family or Individual or Non-Member) and click "View the Plan"
- Click "Subscribe" to the Plan you selected.
- You will receive an email that requests you confirm your new account to activate it.
- Click “Log Out” button in top right corner when done creating your account or making a table reservation or registering for an event.
- All players after establishing an account must log on to the CourtReserve reservation system in order reserve a table for play or register for an event. This is necessary and important to do because of the limited number of tables available for use.
- The table reservation system is currently accessible online from home computers and tablets. It is also accessible from a smart phone application. Go to your phone's App store and download the CourtReserve app. You can also make reservations from the "Reservations Schedule" page on this web site. After going to this page, click on the date, table and time you want to reserve, and it will take you to the CourtReserve login website to complete your reservation.
- The Billiard room daily schedule is open 7 days a week 8 am to 9 pm.
- Club Members can reserve a table from 9:00 am to 5:00 pm and 6:30 pm to 9:00 pm each day. Their reservation can be made up to 14 days in advance. They can reserve a table for up 1.5 hours of play 1 time per day. Currently there is group play on the two inside tables on Monday and Thursday mornings (9:00 am to 12:00 am) and Tuesday and Thursday evenings (7:oo pm to 9:00 pm). Groups of 4 or more players may request recurring weekly reservations on preset days and hours. Requests are to be sent to the Table Reservations Support Team. Approval depends on table availability.
- Non-Members can reserve or use tables from 8:00 am to 9:00 am and from 5:00 pm to 6:30 pm daily. Their reservation can be made up to 5 days in advance. They can reserve a table for up 1 hours of play 1 time per day. Non-Members can play on tables during member reservation times if they are not reserved by members but must relinquish the table if a member has the table reserved.
- Player reservation cancellations must be made at least 1 hour prior to their reservation time. Cancellations are done using the online reservation system. This is important to do as we have a limited number of tables and it allows others to make table reservations.
- An iPad will be in the Billiard Room that shows reservations, events and open reservation times. You will be able to make reservations and register for events on your smart phone while in the Billiard Room.
- Players must end their table play at the end of their reservation time. This will help ensure other players can start their reserved play on schedule.
- "House" Billiard Cue sticks, balls and chalk are provided for table play.
- No smoking or beverages containing alcohol are allowed in the Billiard room.
- No Powder for cue sticks is to be used in the Billiard room.
Member Table & Equipment Cleaning Procedures
Sun City Festival Housekeeping will thoroughly clean the building daily, either before the building is opened in the morning for use, or in the evening after the building has been closed for the day. Club Member cleaning responsibilities include:
- Cleaning the table rails with disinfecting wipes and drying at the end of your reservation play.
- Brushing the tables in the direction of the nap (towards racked balls and towards the pockets) to remove debris and excess chalk mark sat the end of your reservation play.
- Cleaning any house cues or bridge used with disinfecting wipes and drying at the end of your reservation play.
- Assigned Members of the "Clean Team" will vacuum the tables and polish the billiard balls regularly.

To Create a Member or Non-Member Account

If you submitted a manual application and the SCF Billiard Club has created your new account then you need to log on with the temporary password and a create a new password to activate your account when the following new account confirmation is received from the system.
Sun City Festival Billiard Club has created a new account for you on CourtReserve.com a web-based Table Reservation and Event Management application to make it easier for players such as yourself to reserve tables, register for events, and much more.

The menu button shows a listing of all active members. It is intended to assist members in finding and contacting playing partners for a reservation or event. It includes the following information which can be sorted by each column by clicking on the column heading. You can also search for a member by clicking on a first or last name search column and typing their first or last name in the “Search” box. A member’s email can be copied and inserted in your email system (Outlook, Gmail, etc.) to send an email to who you are contacting, or you can contact them by their telephone number. The following is shown for the members list.
"Your Name "
To Create a Member or Non-Member Account

Procedures to Log0n
- Go to the www.scfbilliards.weebly.com website
- Click on the Memberships and Reservations page
- Click on the 1st Black Box above to go to the Registration Screen
- Click on the “Log In” button (Can also go to www.courtreserve.com website to login)
- Enter your username or e-mail address
- Enter your password-This should take you to the SCF Billiards Reservation Welcome Screen
- Across the Top are the following drop-down menus:
"Book a Table"
- Click on “Book a Table" and select either Book Table 9:00 am to 5:00 pm or 6:30 pm to 9:00 pm. This takes you to the daily table reservation screen for the tables for the current day. You can click the “Calendar” icon at top left of Table 1 and click on the future day you want to make reservation for (14 days into the future).
- Determine the available time and table you want to reserve and click on the “Reserve Time” button.
- Click on the “Duration” box and select either the number of hours for the reservation on the pop-up Book a Reservation window (defaults to maximum 1.5 hours for members & 1 hour for non-members)
- Click on Additional Player(s) box to add another Player joining your reservation. (Type the first three letters of their first or last name to get list of players to select from)
- Click “Save”.
- The next pop-up screen shows your reservation for the time you booked on the Table you selected.
- You will receive a confirming email on your reservation.
- Click “Close” on the pop-up window
- If you need to cancel your reservation, click on the “Details” button for the time you reserved on the schedule.
- Click “Cancel Reservation” on the pop-up window & then on the next pop-up screen enter cancellation reason and click on the “Cancel Reservation” button.
- You will receive a confirming email on your reservation cancelation.
- Click “Log Out” button under "Your Name" menu at bottom of menu items when done making or cancelling a reservation
- Note: You can also Book a Table reservation by clicking on the "Reservation Schedule" on the www.scfbilliards.weebly.com website. Go to the date and time you want to reserve and click on "Reserve"
"Events"
- Click on “Events” button at the top of the screen and then click on "List". This will take you to the scheduled Events and tournaments by date.
- Determine the available event or tournament you want to register for and click on the blue “Register” button in the Event/Tournament box to register.
- Click the blue “Register” box again on the next pop-up screen.
- Click the dates you want to register (shows the next two weeks of Events)
- Click "Finalize Registration" blue box
- To cancel or edit an event you registered for click on “Events” button at the top of the screen and then click on "My Events". This will take you to your scheduled Events you have registered for.
- Click on the "Withdraw" box and then enter Withdraw Reason in the box and then click the "Withdraw" red box
- If there are no available places and you want to wait for a cancellation, click on the “Join Waitlist” button and then click on "Join Waitlist" button again on next screen.
- The next pop-up screen shows your registration for the tournament. You can “Update” your registration or “Withdraw” or again “Subscribe to the Waiting List” by clicking on the appropriate button.
- You will receive a confirming email on your tournament registration.
- If you need to cancel your registration, click on the “Withdraw” button for the date you registered. And then click on the “Withdraw” button again on the next pop-up window. Then click “Close” button on next window.
- You will receive a confirming email on your tournament registration cancelation.
- Click “Log Out” button in top right corner when done making or cancelling a tournament registration.
- Events Categories shows different types of Events. You can click on any of them and it takes you to the Event Registration Screen.
- Events Calendar- Shows current month calendar of events and tournaments (can click to future or past months). Can show events / tournaments by day-week or month. You can also register for an event from this screen by clicking on the "Register" on the Event date you want to participate in
- My Events- Shows events and tournaments you are registered for (upcoming or past). Also can access the Events Calendar or Events List from this screen.
- My Waitlisted Events - Shows which events you are on the waiting list for and will notify you if a spot becomes available. Can also access Events Calendar or List from this screen.
"Book a Pro"
- Click on “Book a Pro” button at the top of the screen. This will take you to the schedule of times our Professional Trainer is available to give lessons.
- Determine the date and time you want to register for and click the "Reserve" button on the time to register.
- Click on Lesson Type and select either Individual or Group of 2 or Group of 3-4.
- Click on Lesson Level and select either Beginner or Intermediate or Advanced skill level.
- Click “Save” on the next pop-up screen.
"Players"

"Your Name "
- Click on “Your Name” button at the top right of the screen. This will show the following menu items.
- Personal Information- Shows your personal information in the reservation system. You can make changes and save them by clicking the “Save” button at the bottom of the page.
- My Family- Shows your Family members information in the reservation system. You can make changes and save them by clicking the “Save” button at the bottom of the page.
- My Bookings- Shows Active and Cancelled Reservations, Lessons and Events or Events Waitlisted you have made. You can edit active registrations by clicking on Edit Reservation in blue box and then either click Edit or Cancel Reservation on next pop-up screen.
- Calendar Feed- Shows URL to link your Outlook or Gmail calendar to Court Reserve reservations. You can copy, open or get the file for the URL link that will post the reservations directly to your calendar.
- My Membership - Shows your membership type (individual or family), annual due/fees & last & next billing dates. Can also change or cancel membership. Also shows your membership features/benefits.
- Billing -Transactions- Shows your Account Balance and Unpaid Fees; Paid Fees; Payments; Balance Adjustments and All Transactions to your account by date or date range. Columns in each transaction type can be sorted and filtered. Can also export your transactions to Excel.
- Payment Profile - This allows you to set up your permanent credit card or e-check payment profile on the system for automatic payments of billings. This is optional as you can enter your non system retained payment information when you pay an invoice.
- My Organization - Can add or edit other Organizations you are a member of that also uses the Court Reserve System (i.e. Pickleball Club). The key is to be sure your emails are the same in both organizations as that is the link between them.
